Respect for Shared Spaces and Amenities
Coworking spaces are designed around the concept of shared resources and communal areas. Respectful practices in these spaces is not just about courtesy; it’s about creating a sustainable and pleasant environment for all.
Here are some key points:
Respect the Property and Personal Space of Others
Using someone else’s equipment or workspace without permission is not permitted. Personal boundaries should be respected, including when it comes to using someone else’s desk or borrowing office supplies.
Use Shared Resources Responsibly:
Shared resources such as printers, scanners, and kitchen appliances are there for the benefit of all members. Using them responsibly means being mindful of others’ needs.
Space Allocation
It’s important to be aware of the space you occupy. Occupying more space than necessary can be inconsiderate to others. Efficiently utilizing the space assigned or booked, and being accommodating to others’ space needs, encourage a sense of community and cooperation.
Manage Noise Levels in Common Areas
While interaction and collaboration are encouraged, members should be mindful of their noise levels by:
· Keeping voice volumes low and using meeting rooms for longer discussions can help maintain a productive atmosphere for everyone.
· Use headphones for audio during music listening, webinars, or video calls.
· Speaker phones should not be used in a co-work space
Cleanliness
Cleaning up after using kitchen appliances and dishes. Do not leave food in the refrigerator for longer than a day. If left for a small extended period, food should be marked with your name and date. Food left longer than 3 days will be removed and trashed to allow space for our other tenants.
If not in a private office, please clean up your area after use. We encourage the use of disinfectant wipes which will be provided.
Odors
Please be courteous to other tenants by being aware of strong or unpleasant smells. Other tenants maybe conducting a business meeting and cooking your leftover Brussel sprouts and fish in the microwave may cause an unpleasant distraction.
Pets
We love our pets! However, a co-work environment is not an ideal environment for our fur-babies for several reasons:
· Barking can interfere with the professional atmosphere, especially when a member is concentrating or during phone calls.
· Various animals at once can invite an atmosphere of chaos.
· Allergies- We need to be conscientious to our members with animal allergies.
· Some clients have a strong fear of animals. We don't want to create an atmosphere that is not conducive to our membership.
Conference and Podcast rooms
· Please use the designated booking system to schedule the conference room or the podcast studio.
· Please do not extend the time scheduled. We want to be courteous to others.
· Please communicate immediately for changes to your booking. This helps in maximizing room utilization and availability for others.
· Please leave the room as you found it. Put furniture back in its place. Wipe spills and food particles, clear the whiteboard, dispose of trash, and turn off equipment after use.
· Please report any damage or malfunctions in meeting rooms immediately.

Manager on duty
We will have a manager on duty from 9:00 to 3:00 most days. Their primary duty is to keep the integrity and flow of the Hive community as well as keeping the infrastructure maintained. They are not personal assistants to Hive members. However, the manager on duty is happy to greet your guests in order to create a hospitable and professional atmosphere. In the event of any disagreements or grievances. Please see the manager on duty to assist you.
If you would like additional help with your workload. We have a Notary, Graphic artist, General administration and Bookkeeping personnel at an additional charge.
Our staff will handle the disposal of trash, lavatory care, and general cleaning of the common areas. We will not access private offices, except in the event of emergency or breach of contract.
Network and Data Security in Coworking Spaces
Vital Practices for Safeguarding Digital Integrity
In a coworking environment, where various entities utilize the same digital platform, stringent adherence to network and data security protocols is not just advisable—it’s essential.
Here’s a breakdown of best practices:
· Network Integrity: Refrain from meddling with the coworking space’s network infrastructure. Unauthorized changes can risk the security of the entire network.
· Password Protocol: Opt for complex passwords for all devices and accounts, a fundamental step in a communal digital space. Utilize a password manager for enhanced security and convenience.
· Device Security: Secure all personal devices with passwords or biometric authentication, especially when leaving them unattended.
· Discrete Data Sharing: Exercise caution when sending sensitive data over the coworking space’s Wi-Fi. Employ a VPN for encrypted communications.
· Software Vigilance: Regular updates to your device’s software, including security programs, are crucial. These updates often contain fixes for known vulnerabilities.
· Phishing Awareness: Stay alert to phishing scams. Avoid interacting with suspicious emails, links, or downloads from unverified sources.
· Reporting Anomalies: Immediately report any unusual network activity or suspected security breaches to the coworking space management. Early detection is key in preventing wider security issues.
· Secure Wi-Fi Connection: Ensure connection to the official coworking space Wi-Fi network. Confirm with the management if you’re unsure about the correct network to avoid connecting to potentially harmful rogue networks.
Adopting these measures not only protects your data but also upholds the digital security of the coworking space. Such collective responsibility is crucial for maintaining a secure environment conducive to the professional success of all members.
